FOLLOW UP
- When filling out the proper documentation for updated info, pass along the documents to Flatirons Kids staff
- If issues arise with checking-in a family or a family is frustrated, inform Flatirons Kids staff to resolve
- Connect with a Flatirons Kids staff member if supplies are running low or if there are technical issues
LOOK TO IMPROVE
- Always look for ways to improve our guest experience to become more irresistible

- Each week you serve, look for ways to engage families + recognize them returning, especially if they are newer to Flatirons West as a whole

- Must check-in every child with phone numbers + a child must receive a nametag to wear
Tech Procedures
Here is all you need to know regarding the tech pieces surrounding the Kids Connections team.
CHECK-IN COMPUTERS
- Starting Check-In
- Turn on computer with button in the lower right-hand corner and the home page screen should automatically come up once turned on
- Passcode: 001776
- The orange Rock icon should open up…if not, double click on it to open the check-in app
- Turn on computer with button in the lower right-hand corner and the home page screen should automatically come up once turned on
- Checking Kids In
- Parents will hit red CHECK-IN button
- Enter 4-10 digits of any person’s phone number in the family’s household
- Select Family from list
- Select children and/or Leader(s) by touching the box or red bar
- You can use the scroll bar to the right of the names or drag screen. Scrolling works best
- Only the people that can check in will be listed
- If a child is not listed they are not in Rock, they are missing a DOB, or may be missing a grade
- Families can check in again. They will be given different ID numbers
- When they check in again, the box next to their name will already be checked. They need to leave the box checked and hit the red NEXT button
- Hit red NEXT button
- ID Tags will print
- One will be the pickup receipt tag
- The other two are identical nametags of each checked-in child
- One is put on the child
- One is given to the SGL in the child’s room
- To Close Out Check-In: Go to upper left side of screen, tap 6 times
- To Restart Check-In: Double click the Rock icon on the desktop
TAG PRINTERS
- The printer light blinks when the printer is empty or not functioning correctly
- To change paper:
- Push the teal button on the side to lift cover
- Pull teal levers to side to remove the paper
- With teal levers pulled to the side, replace the roll of paper
- Feed paper under the 2 teal paper slides
- Close lid
- The light will blink green until you hit the print button and feed one label
- The printer is now ready to use

NEW FAMILY IPADS
- These are solely for new families (not for families who have attended another Flatirons campus or need to add a child…we can do that manually through Rock)
- No passwords required
- They will fall asleep after non-usage for a certain amount of time
- To wake up, tap screen and swipe up
- The screen that it should be on is the New Family Pre-Registration form
- Once a new family fills it out, make sure that you walk them to the check-in computer and show how to do tags before walking to the child’s age-appropriate environment
- Once a family has completed the form, make sure to click on the New Family Pre-Registration form tab on the left hand side of the screen to prepare for the next new family
STAFF COMPUTER
- Password: B@rabbas456!
- Log in to the computer
- Once logged into the computer, open Google Chrome app and go to rock.flatironschurch.com
- It will already be logged in
- Once logged into the computer, open Google Chrome app and go to rock.flatironschurch.com
- To use Rock:
- Use the “Search” box to look up families
- Make sure it is on the correct type of search before starting
- If you cannot locate family, try looking by Phone or Email or other family member names. You can also just use the first 2-3 letters of first and last names
- If you cannot find a family after the ideas above, have them fill out the digital New Family Pre-Registration Form
- If a family needs something changed (name spelling/updating, moved addresses, new/correct phone number, grade/age, or adding a new family member/friend) have them fill out the yellow Family Update Sheet attached to your clipboard or you can make the change directly in Rock if you know how
- If using computer for verification after lost tag, pay attention to any highlighted information below the child’s name or the adult’s name.
- If there is a highlighted warning and you think this could be a dangerous/hostile situation, please grab security or staff immediately, discretely if possible. You can radio for “Pastor Gallagher to come to the New Family area”
- DO NOT let families use the computer or look at Rock. This is for Staff and trained, background checked leaders ONLY. This is our secured way of protecting the kids.
- If while helping families, you notice an error, please help us correct or update our system by leaving detailed notes or filling out the yellow Family Update Sheet or make changes in Rock.
- If we need to reach out to the family for verification or clarification, please note that as well. (i.e. Name spellings, multiple profiles for a person/family, kids not connected to parents, etc.)
- Use the “Search” box to look up families
Lost Tags Procedures
IF A PARENT LOSES A TAG…
- They must be sent to the New Family Desk.
- A Connections Team Member will match miscellaneous information (child’s name, birthday, phone number etc.) and/or a driver’s license, to the information in Rock.
- A Connections Team Member will fill out a replacement pick up tag for the parent (or guardian that is picking up the child.)
IF A CHILD LOSES A TAG…
- Coach, Connections Team Member or Staff will record: Kid Name, Parent Name, I.D. or Driver’s License number, room, service time, and date on a log (by check out in each area).
- If parent does not have an I.D. or Driver’s License, Coach or Staff will walk parent to New Family to verify information (like above), then escort them back to pick up their child.
Miscellaneous FAQ’s
Here are some commonly asked questions that we have received at our New Family area over the years.
This is our first time and our kids want to stay together…is that okay?
- While we totally understand the scariness of a new place for kids, our environments (programming, small groups, etc.) are tailored to the ages/grades for each room. We have had the greatest success having kids start in their appropriate age group, letting leaders help comfort them and introduce them to the rooms instead of siblings.
- You can also reassure that parents that if their child doesn’t get settled, we are more than happy to page them after any length of time they deem fit.
- If parents insist, the older child needs to go into the younger child’s room. For safety, we cannot have a younger kid in a room full of older kids.
- It is also an one-time exception, we cannot have kids in rooms that are not age appropriate.
- Please grab Flatirons Kids staff to double check if parents seem hesitant or insist on keeping kids together.
- That way, we can make that call, follow up with parent’s mid-week, and handle the situation if they come back and want to try keeping their kids together again.

Can I go into the room and check it out?
- If your child is hesitant to leave you, sometimes going into the room, and leaving them from there causes more stress on the child then if you were to just drop them off. You are more than welcome to check out the rooms and walk through the space, but we encourage you to do it after so your child can give you the tour (if 3+), or so you have time to really explore it and ask your child’s leaders questions.
Can my Middle Schooler go to the Preteen (4th + 5th) Room because there is no Student Service?
- Sorry, but we do not allow middle schoolers in kids ministry unless they are volunteering as a leader. Middle schoolers can serve with a parent and cannot serve in the Preteen room because the age difference is too small. If they have questions or seem upset, feel free to grab Flatirons Kids Staff or Evan Smith (our Student Director) to chat with them.
